Start with a customer and the work you are doing. Add photos, travel, costs and what was said as you go, then prepare the report or invoice from the same information. You choose what belongs together and what appears in anything you share. The app adapts without forcing every business through the same process.

Report and invoice

Choose what belongs in the job report, prepare the invoice and inspect the PDF before you issue a final numbered copy. Before you start a subscription, and a free week counts as one, every PDF the app produces carries a repeated "Created with InvoQuill" mark across each page, previews included. Start one and the mark goes, from the documents you made earlier as well as the next.

Payment
Confirm the money, then record it.
Add your Stripe, PayPal, Square, SumUp or GoCardless link and the invoice goes out with a QR code your customer can scan and a button they can tap. Your provider handles the transaction, so check the money arrived before you record the payment or raise a receipt.

Repeat
Set the ones that come round again to write themselves.
Set an invoice to repeat weekly, monthly, quarterly, yearly or on your own interval, with an end date or a set number of times. A monthly schedule set for the 31st keeps its date instead of slipping earlier every February. Each schedule either waits as a draft for you to look over, or issues itself on the day when Pro is running.

What you can do
The everyday tools stay close to the work.
Use only the parts that fit your business. The same app can handle a quick appointment, a longer project, an order or a visit to a work address.
Projects, jobs, bookings, orders and deliveries
Choose the type of work, customer and location. Add dates, status and the details you need to return to later. Set a schedule and use the correct address without rebuilding either one in the invoice.
Photos and job reports
Group photos as Before, During or After, add captions and choose what appears in the report. Saved date, time, coordinates and work address can appear when available. Only details already saved can be shown, and you decide whether coordinates appear.
Quotes, invoices and other documents
Prepare quotes, estimates, invoices, receipts, credit notes and your own document types. Reuse catalogue items, check the totals and preview the PDF before issuing. Issued numbers are not reused, which keeps the sequence clear if a document is later voided or deleted.
Expenses, trips and payment checks
Save receipts, enter or record trips and compare job costs on screen. Add a missed journey, record the next trip or review an eligible Smart Mileage suggestion before saving it. Payment links, bank-match suggestions and message reminders still leave the final check with you.
A document your customer cannot edit
Every document is sealed before it leaves your phone. Your customer opens it with no password and can read it and print it, but cannot edit it, copy the text out of it, or slip a page in. There is no editing password to lose, because nobody holds one. Screen readers still work, so sealing a document never makes it awkward to use. Software that chooses to ignore those settings can still import the page, and anything on a screen can be photographed, so this is not a promise that nothing can ever be faked. What it does mean is that no ordinary reader will let a figure be changed, and that interference with the seal can be seen afterwards.
Bank statements and matching
Bring a statement in as the file your bank gives you, as a PDF, or as a photo of the paper, read on your phone. Payments are matched by the reference on the invoice rather than the amount, so two customers paying the same figure are never mixed up. Import the same statement twice and you will not get the same money twice. Every match is a suggestion you confirm, one at a time. Matching your bank is part of Pro.
Nineteen reports, six formats
From sales and costs to who owes you and what a job actually made, over your financial year, a quarter, a month or any two dates you pick. Reading them on screen is free. Printing one, sending it, or saving it as a spreadsheet, a PDF or a plain file your accountant can open, is part of Pro.
Import a quotation as a PDF
Bring in a quotation somebody else wrote and the app reads its schedule out, line by line, with each price, whether it is labour or materials, and the page it came from. It adds the lines up and checks them against the totals printed on the quotation, and shows you any difference rather than importing quietly. Nothing is saved until you have looked it over.
Only part of a line finished? Mark each quoted line off as the work moves, and invoice the finished ones as an ordinary draft you can still edit. If only part of a line is done, bill that part and type why in your own words. Your reason is printed on the invoice the customer reads, so nobody rings you in three months asking why the figure is short. A line can be billed across several invoices, the schedule always shows how much is left on it, and the same quoted work cannot be billed twice.
Away from the desk
Three things the app does while you are working.
Recording what was said, arrival alerts and the figures on your widgets, Lock Screen and Apple Watch are part of Pro. The morning notification is not, though without a subscription it carries late money only.
Keep the conversation in the words it was said in
Record what was said on a job and the phone writes the words down as they are spoken. When you stop, it writes the conversation up on its own: what it came to, what was settled, what happens next and what is still open. Nothing reaches the note that was not in the room, and if the phone missed anything it tells you where and for how long instead of quietly closing the gap. Every word is kept beside the note, and you decide how long the sound is kept, from a week to for good. The recording never goes to iCloud and never goes into a backup.
The phone notices you have arrived
Switch arrival alerts on and the phone notices when you pull up where you have work booked, then offers to check you in at the time you arrived rather than the time you got round to tapping. It waits a few minutes before saying anything, so driving past the end of the road never sets it off, and it never mentions your own yard or workshop. Drive away from work you never closed and it offers to finish it at the time you left. Nothing is ever recorded behind your back: the app offers, you decide.
What you are owed, before you open anything
A Home Screen or Lock Screen widget can show what you are owed, what is overdue and what you have been paid this year. Totals only, never a customer name, because a Home Screen can be read without unlocking. A notification at half past seven, or whatever time you set, tells you what is late, what is due and what is booked, in numbers rather than names, and nothing arrives at all on a morning when nothing needs you. Check into a job or record a drive and a live card on your Lock Screen keeps count. Your Apple Watch shows the same figures, and can start a recording while your phone stays in the van.
- What was saidWriting down speech needs iOS 26 or later on an iPhone that can do it. Where a phone cannot listen, the app says so plainly instead of offering a button that would fail, and you type what was said instead. The note, the job and the report then work exactly the same. Writing the conversation up needs Apple Intelligence; without it every word is still kept and you write the note yourself.
- Arrival alertsOffered only for kinds of work that record where they happen, such as a call-out, a visit or a delivery. Work that records the time and the status only is never offered them, and nothing is watched in the background. Off until you switch them on, and they need the location access the app asks for when you do. Ignore two offers in a day and it stops for the day. Tell it to leave it today and that one address goes quiet until tomorrow. If iOS takes the access away, the feature switches itself off and tells you why rather than sitting there looking on.
- Widgets and Apple WatchNothing is published to a widget or a watch without a subscription, and anything already showing is withdrawn if one stops, so yesterday's takings are not left on a Lock Screen or a wrist. You are still told when an invoice is overdue, subscription or not.

A starting point, not a restriction. You can still use every standard document type and add your own. Official certificates, permits and regulated forms remain separate. One thing does follow your choice: arrival alerts, and the place recorded when you start and finish, belong to kinds of work that happen at a customer’s address. Where the work is a session, an appointment, an order or a piece of consultancy, the app records the time and the status and asks nothing about where you were.

Stored on your device
Core records and drafts work offline. Optional private iCloud sync can update supported records across your Apple devices and costs nothing extra, but sync is not a backup. Keep a separate verified copy in Files. Creating a backup is part of Pro, and restoring from one you already have always works, with or without it. There is no separate InvoQuill login or InvoQuill server holding your workspace.

Where your device supports it, Apple Intelligence is what turns a conversation you have recorded into a written-up note. Snap a receipt and the supplier, total, tax and date are filled in for you on the phone, ready for you to check, and the app offers the heading you filed that supplier under last time. Asking what you are owed is answered from your own records, not from Apple Intelligence. Siri and Shortcuts can open a record, prepare a draft, record a cost, start or finish work and log a trip. They never issue a document, send anything to a customer or move money, and nothing runs until your device is unlocked. Core tasks still work without Apple Intelligence.

Set the whole business up for nothing. The app opens fully, with no countdown and nothing locked at the front door, and you meet a price at the moment you ask it to send something out. One plan, billed monthly, with no tiers to choose between. Apple shows the current regional price and any free trial or introductory offer available to your Apple Account, and you cancel from that account whenever you like. Before a subscription starts, every PDF carries a mark. While no subscription is running, everything the app produces has a repeated "Created with InvoQuill" stamp across every page. That covers issued documents, drafts, design previews and reports alike, and the app draws it in its own grey, so it cannot be removed by editing a design. It goes as soon as a subscription is running, a free week included, and it goes from the documents you made earlier as well. It is worth knowing now rather than when a customer does.
Stop paying and you lose nothing you have already done. Every record stays, you can still open and read all of it, you can still restore a backup, and you will still be told when an invoice is late. Sending an issued document out again, or saving anything as a file, needs Pro, and the "Created with InvoQuill" mark returns to the PDF while no subscription is running.
